Email Signatures

Email signatures are an important component of our communications. It's important that SPS staff use well-organized, professional-looking and consistent email signatures to convey a professional tone to our various audiences.
  • Arrange your information in a logical hierarchy.
  • Keep it brief. Don't overload your signature with non-essential contact information and other unnecessary content.
  • Separate signature from body of the email — there needs to be a visual separation to mark where the body of your message ends, and where the signature begins.
  • Avoid wallpaper backgrounds, pictures and non-essential quotations.
  • Use web safe fonts. Arial is recommended for consistency and to ensure compatibility.
  • You may want to create multiple versions of your signature to use with different audiences or situations.
